If you subscribe to Facility Executive's monthly magazine you will have noticed that Beaverton School District was featured in an article entitled School District Tracks Space Use. Kathy Gray is the facilities use coordinator for the district, which is the third largest in the state of Oregon, and her team devised a means to utilize cloud based tools to improve use insights and controls for building requests and access for after hours events. Through this program the organization is reducing confusion and costs through communication and utilization of applicable resources.
"Utilizing an online form and changing the approval process makes facility scheduling faster and saves school principals a lot of time. The district also changed the fee structure based on visits with peer institutions. The new, tiered fee structure now charges more for fields and auditoriums versus classrooms. We are still early in the process, but the district expects to recover a majority of costs especially by recouping custodians’ overtime rates."
